Roles, Responsibilities, and Duties

All OGHA Board of Directors are responsible for:

  • Attending Board of Director meetings
  • Assisting in decision making in all matters pertain to the association including: financial, disciplinary, program development and compliant
  • Perform such other duties as necessary for the good and welfare of the association
  • Developing, improving and approving the policies of the association within the framework of the Bylaws
  • Establishing and guiding the strategic direction of the association
  • Ensuring an adequate yearly budget is prepared and approved
  • Representing OGHA in the community
  • Acting honestly and in good faith and in the best interest of the whole association
  • Applying care, diligence and skill while exercising the powers and functions as an Executive member

 

Directors (voting members) 

President 

  • Preside at all meetings of the Directors and the Members. 
  • Shall be the chief executive officer and chief spokesmen of the OGHA and shall exercise general control of and supervision over its affairs. 
  • Represent the OGHA within the community; primary point of contact with the community and other outside agencies. 
  • Sign as one of at least three signing officers for the OGHA. 
  • Represent OGHA at all Ontario Women’s Hockey Association (OWHA) meetings or functions. 
  • Build relationships with other girls and minor hockey associations. 
  • Help create and establish policies and procedures. 

Vice President 

  • In the absence of the President, the Vice-President may exercise the powers and perform the duties of the President. 
  • Sign as one of at least three signing officers for the OGHA. 
  • First point of contact for disciplinary issues and serious allegations of misconduct. 
  • Perform other duties prescribed by the Board of Directors. 
  • Manager of convenors of each program stream. 

Treasurer 

  • Keep record of all moneys received and disbursed; reimburses or pays approved invoices. 
  • Monitors member and team payments; sends reminders. 
  • Prepare a monthly statement of financial status of the organization and present at Board meeting. 
  • Prepare annual budget for the OGHA. 
  • Sign as one of at least three signing officers for the OGHA.  
  • Reconcile monthly bank statements. 
  • Work with auditor to complete year-end financial statements. 
  • Present financial statements at AGM. 

Secretary 

  • Monitor OGHA general mailbox. 
  • Seasonal Administrative: Update and maintain Manager’s Handbook, Coaching Handbook. 
  • Board meetings: 
    • Communicate agenda to board members. 
    • Record meeting minutes. 
    • Communicate board action items. 
    • File and keep track of all minutes for board meetings. 
  • AGM: inform membership of location, date and time of AGM, record minutes at AGM. 
  • Administer mid and year-end surveys to membership. 
  • Organize OGHA/teams photographer. 

Registrar 

  • RAMP administrator. 
    • Maintain and record all player registrations & releases. 
    • Ensure all teams are properly registered with ODWHA, MOGHL and OWHA. 
  • Ensure all coaching and team staff have the requisite qualifications for each position pursuant to ODWHA, MOGHL and OWHA regulations. 
  • Works closely with Ice Scheduler to prepare OGHA’s ice schedules. 
  • Manages ice contracts with City of Ottawa and private rinks. 
  • Website and RAMP app maintenance. 

Director of Marketing & Programs  

  • Promotes OGHA in the local and broader hockey and sport community with print, social media, etc. 
  • Prepares budget for jerseys, equipment and swag; submits to BOD and treasurer for approval. 
  • Purchases jerseys, equipment and swag as required and within budget; manages inventory of these items. 
  • Manages OGHA program development with on and off ice skill development initiatives (ie. goalie training, University of Ottawa, etc). 

Director of Risk, Safety & Wellness  

  • Manages electronic medical forms.  
  • Manages the submission of player/coach injury reports to appropriate governing bodies. 
  • Manages and develops communication and resources available to trainers. 
  • Communicates Rowan’s Law protocols. 
  • Manages and works closely with Covid-19 Response Team, Trainer Mentor. 
  • Implements initiatives to promote fitness, wellness, risk and safety within the OGHA.  

 Director House League and Director of Competitive Programs 

  • Oversees the activities of the program including administration, information, activities of the players, teams and coaches. 
  • Help coordinate with Registrar and Ice Scheduler the schedule for all the division’s games and practice ice times within program. 
  • Convenes a coach meeting of all Head and Assistant Coaches to promote the OGHA’s overall objective of ensuring an enjoyable hockey experience for all players. 
  • Organize, facilitate and participate in the annual divisional player/team tryouts and/or balancing of teams. 
  • Ensure any player/coach suspensions are reported, served and accurately recorded on the electronic game sheet. This includes notifying coaches of suspensions prior to the next game being played. 
  • Point of contact for coaches and managers of each team within program. 
  • Be familiar with OGHA policies and procedures; help determine gaps and facilitate improvements in information. 
  • Director of House League will also be MOGHL representative. 
  • Attend Board of Directors meetings as required. 

Time requirement:1-3+ hours per week (more time could be required at beginning of season; vary time throughout the season depending on requirements such as ice scheduling, sorting, tryouts, etc.)

Volunteer responsibilities 

Equipment Managers (House League and Competitive)

  • Works in cooperation with Director of Marketing and Programs.  
  • Responsible for the orderly management of jerseys and hockey equipment which are OGHA property and on loan to members during a season. 
  • Handing out (beginning of season) and collection (end of season): team jerseys and socks. 
  • Handing out (beginning of season) and collection (end of season) of goalie equipment. 
  • Keeping inventory, which is needed for purchase planning. 
  • Working hand in hand with Director of Marketing & Programs. 
  • Attend Board of Directors meetings as required. 

Time requirement:?Several hours within the first 4 weeks of season to make sure that all teams have jerseys, socks and goalie equipment. Several hours after season ends in April, to make sure that all jerseys and equipment is received back and inventory is taken.  

Website/Social Media Manager 

  • Works in cooperation with Director of Marketing and Programs.  
  • Coordinate with the Board of Directors to maintain and post news to our social media and website.  
  • Responsible to keeping track of OGHA Social Media accounts. 
  • Update of the OGHA’s website. 
  • Posting of OGHA news throughout the season. 
  • Creating SM code of conduct with Director of Marketing & Programs.  

Time requirement: 1-2 hours per week.
