The Team Manager is a key member of the team’s leadership team and is mostly responsible for the off-ice administration and smooth operation of a team throughout the season. The team manager’s role centres on organization and communication: from setting up the team (entering game schedules, coordinating league paperwork, securing travel permits) to managing the team (handling scheduling logistics, communicating policies and schedule changes to players and families, and liaising with referees and league contacts) and closing out the season with final administrative tasks. While specifics vary by team this logistical backbone allows coaches to focus on training and performance, and ensures players, parents and officials remain informed and coordinated.
Beyond routine scheduling and administrative duties, a Team Manager plays a central role in connecting all parties involved in a competitive season. They act as the primary point of contact between coaches, parents, athletes, and external stakeholders (such as league administrators), organize game-day and travel logistics and manage team documentation. This role, though often behind the scenes, is vital for fostering a well-organized, communicative, and positive environment that enhances the overall experience and success of the team. These are general tasks that the Team Manager will need to complete prior to the start of the season to ensure a smooth and seamless kickoff. The tasks are not listed in any particular order and may be completed as timing allows. Not all tasks must be handled by the Team Manager alone—many can be delegated to Team Parents to help share the workload. As the saying goes, many hands make light work.
1. Send welcome email
2. Set up team budget and account
3. Outline the Season Plan/Parents Meeting
4. Identify team staff (Asst Coaches, Treasurer, Trainer)
5. Identify team support/volunteers (Den Moms, Timekeeper, Scorekeeper, Social Committee, etc)
6. Ensure all personnel in direct contact with players have completed all VSS requirements
7. Register for tournaments (in discussion with Head Coach)
8. Book hotels for away tournament
9. Set-up Communications (RAMP Team App, etc)
10. Communicate Parent Code of Conduct
11. Obtain additional insurance (if required)
12. Obtain Team Staff certifications (Coaching, Trainer, etc)
13. Decide on team apparel (in discussion with Head Coach and staff)
14. Organize jerseys and socks (will need to contact Equipment Manager)
15. Organize the teams first social event
